Job Summary

Location: Morgantown, WV

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:

  1. Identifies, evaluates, selects, and negotiates with vendors, maximizing quality of purchased goods and services while controlling costs.
  2. Administers purchasing procedures including RFP/RFQ, bid, purchase order, requisition, or invoicing processes.
  3. Maintains records, of purchases, payments, and inventory levels.
  4. Manages vendor relationships and works with vendors to resolve quality, shipping, or invoicing issues.
  5. Inputs purchase order details into an accounting system and tracks invoice payments against sales receipts, bills of lading, and other related transfer documents.
  6. May provide price quotes to customers.
  7. Maintains records of all orders and payments for monthly or quarterly reconciling.
  8. Coordinates with the accounting, or accounts receivable departments on matters of variances or inconsistencies in billing records and implements corrective action as necessary.
  9. Takes appropriate action with delinquent accounts.
  10. Tracks customer complaints or inquiries and recommends changes to products or services to improve customer satisfaction. May directly handle more complex inquiries or inquiries from critical customers or accounts.
  11. Oversees the analysis and testing of current processes and systems to determine effectiveness and efficiency. Manages data collection, root cause analysis of issues or problems, and develops and recommends solutions according to the current and future needs of the business.
  12. Has familiarity with accounting / ERP systems.
  13. Maintain compliance with all company policies and procedures.
  14. Enhances professional growth and development through participation in educational programs, current literature, meetings, workshops, etc.
  15. Perform related duties as assigned.

Qualifications

EDUCATION AND WORK EXPERIENCE REQUIREMENTS:

  1. Must have bachelor’s degree in Business or related field.
  2. Must have minimum of seven (7) years of experience in purchasing.
  3. Must have minimum of four (4) years of management experience.
  4. Performs work under minimal supervision.
  5. Ability to work as part of a team.
  6. Ability to effectively communicate with internal and external customers.
  7. Proven ability to meet deadlines and follow directions.
  8. Moderate computer skills, including Microsoft Excel, Word and ERP system.
  9. Enhances professional growth and development through participation in educational programs, current literature, meetings, workshops, etc.
  10. Perform related duties as assigned by supervisor.
  11. Maintain compliance with all company policies and procedures.

PHYSICAL REQUIREMENTS:

  1. Ability to safely and successfully perform the essential job duties consistent with ADA, FMLA, and other federal, state, and local standards, including meeting qualitative and/or quantitative productivity standards.
  2. Ability to maintain regular, punctual attendance consistent with the ADA, FMLA, and other federal, state, and local standards.
  3. Ability to work safely and adhere to the Swanson Safety System in daily job duties.
