Job Summary

Location: Morgantown, WV

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES: 

  1. Reconciles amounts owed by comparing invoices to purchase orders or other records.
  2. Enters invoice amounts into the accounting/ERP system.
  3. Responds to inquiries from Swanson team members in a timely manner.
  4. Serves as backup to the weekly and ad-hoc check runs.
  5. Conducts research to determine appropriate resolution of discrepancies.
  6. Codes freight, utility, and other non-PO invoices in preparation for processing.
  7. Assists with vendor requests and reconciliation of vendor statements as assigned.
  8. Monitors the receipted but not vouchered report and drives resolution.
  9. Files supplier invoices weekly
  10. Reviews and maintains the checklist of reoccurring expenditures to ensure all charges are posted in the correct month.
  11. Performs the electronic selection and processing of online invoices for UPS and FedEx.
  12. Escalates issues as appropriate to management’s attention.
  13. Enhances professional growth and development through participation in educational programs, current literature, meetings, workshops, etc.
  14. Perform related duties as assigned by Controller.
  15. Maintain compliance with all company policies and procedures.

Qualifications

EDUCATION AND WORK EXPERIENCE REQUIREMENTS:

  1. Must have a high school diploma or equivalent.
  2. Must have minimum of three (3) years of experience in accounts payable or related experience.
  3. Performs work under minimal supervision.
  4. Ability to work as part of a team.
  5. Ability to effectively communicate with internal and external customers.
  6. Proven ability to meet deadlines and follow directions.
  7. Proficient computer skills, including Microsoft Excel, Word, and ERP system.

 

PHYSICAL REQUIREMENTS:

  1. Ability to safely and successfully perform the essential job duties consistent with ADA, FMLA, and other federal, state, and local standards, including meeting qualitative and/or quantitative productivity standards.
  2. Ability to maintain regular, punctual attendance consistent with the ADA, FMLA, and other federal, state, and local standards.
  3. Ability to work safely and adhere to the Swanson Safety System in daily job duties.
